1. Scope
Awilix Technologies LLC owns and operates Accrella and is responsible for the information practices described in this policy. Accrella is a product name, not a separate legal entity.
This policy applies to the Accrella website, account portals, product experiences, customer support, research workflows, and related communications. Some enterprise agreements may include additional privacy, security, or data-processing terms.
2. Information we collect
- Account and contact information, such as name, work email, organization, role, phone number, and authentication details.
- Business and billing information, such as subscription status, invoices, payment metadata, procurement records, and customer communications.
- Customer content, such as uploads, notes, bid sheets, evidence files, workpapers, owner or parcel records, source URLs, compliance records, and workflow activity.
- Usage and device information, such as pages viewed, product events, browser type, IP address, approximate location, identifiers, logs, and diagnostic data.
- Information from third-party or public sources, such as county records, auction files, public websites, identity providers, support tools, and integrations you authorize.
3. How we use information
- Provide, secure, troubleshoot, personalize, and improve Accrella.
- Create accounts, authenticate users, manage permissions, and provide customer support.
- Process requests, trials, subscriptions, invoices, implementation services, and notices.
- Operate discovery, underwriting, evidence, compliance, servicing, reporting, and audit workflows.
- Detect fraud, misuse, security incidents, data-quality issues, and service reliability problems.
- Comply with legal obligations and enforce our agreements.
4. How we share information
We share information only when it is useful for providing Accrella, requested by you, required by law, or needed to protect rights, safety, and security.
- Service providers that host, secure, monitor, analyze, support, or help operate Accrella. Depending on enabled features, these include Clerk for identity, Stripe for payments, AWS for infrastructure or storage, AI providers including MiniMax, Lob for mail and configured map or diagnostic providers.
- Integrations, county portals, public-record sources, mail recipients and other workflow recipients you direct us to use. Authorized workspace members and administrators can access information within their permissions; property research may make owner and parcel information available to customers using those tools.
- Professional advisors, auditors, insurers, and legal or compliance reviewers under appropriate duties of confidentiality.
- Authorities or other parties when required by law, legal process, or urgent security needs.
- A successor organization if we are involved in a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
5. Advertising and AI processing
- We do not sell private account or customer-uploaded information to advertisers. Property research can include owner information made available through a paid service; public-record status and applicable privacy law determine the treatment of that information. Contact us to exercise any applicable sale or other processing opt-out rights.
- We do not share personal information for cross-context behavioral advertising.
- We do not train general-purpose AI models on private customer content without explicit written permission.
- We do not use sensitive customer content for advertising profiles.
- AI-enabled research and drafting may send prompts, documents, owner names, addresses, parcel identifiers and related context to the configured AI provider. Processing inputs to deliver a response is distinct from training a general-purpose model. Provider retention and other handling depend on the applicable service terms and configuration.
6. Cookies and analytics
We may use necessary cookies, local storage, logs, and similar technologies for authentication, security, preferences, diagnostics, and product analytics. Our Cookie & Local Storage Notice describes browser storage, limited public-page measurement and privacy signals. If we add optional marketing cookies, we will provide controls where required by law.
7. Data retention
We keep information only as long as needed for the purposes described in this policy, including providing Accrella, preserving audit trails, complying with legal obligations, resolving disputes, enforcing agreements, and maintaining backups.
Customers can request export or deletion of customer content, subject to legal, security, backup, and audit-retention limits. When deletion is not immediately possible, we will limit use and remove the information according to our retention process.
8. Your choices and rights
Depending on where you live or operate, you may have rights to access, correct, delete, export, or restrict certain personal information, and to appeal or object to certain processing. We will not discriminate against you for exercising privacy rights.
- Update account information in the product or by contacting us.
- Request access, correction, deletion, or export by emailing privacy@accrella.com.
- Opt out of non-essential marketing emails using the unsubscribe link or by contacting us.
- Ask us to limit processing of sensitive customer content when a workflow allows it.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, logging and encryption where appropriate. Specific safeguards vary by system and provider; this policy is not a certification or a guarantee that every proposed internal control has been implemented. No service can guarantee perfect security, but we take protection seriously and investigate suspected incidents promptly.
10. Children
Accrella is intended for adults aged 18 and older and is not directed to children. If you believe a child has provided personal information, contact privacy@accrella.com so we can investigate and take appropriate action.
11. International use
Accrella is operated primarily from the United States. If you use Accrella from another location, information may be processed in the United States or other jurisdictions where our providers operate, subject to applicable safeguards.
12. Customer instructions and independent processing
We determine processing purposes for operating accounts, billing, security, support and our own property research. For customer-controlled documents or workflows, we may process personal information on the customer’s instructions. That customer is responsible for its own notices and lawful processing; an applicable data-processing agreement can define each party’s duties.
We use account and billing details to perform our agreement; security and service information to operate and protect the service; records needed to comply with law; and consent for processing where consent is required. Where a law requires a specific legal basis, that basis depends on the purpose and circumstances. International transfers remain subject to applicable legal requirements; using the service alone is not consent to waive transfer protections.
13. Retention by purpose
Account and workspace content are retained for service delivery and applicable offboarding needs. Billing and transaction records may be retained for tax, accounting and dispute requirements. Security logs, research evidence, communications and audit records are retained according to their operational and legal purpose; backups follow their rotation and preservation requirements.
Retention depends on data type, contractual duties, sensitivity, legal holds and whether the purpose can be met with less information. We do not promise a single universal deletion deadline. 14. Regional privacy rights
Where applicable, California and other state privacy laws may provide rights to know the categories and specific information collected, its sources, purposes and recipient categories; access, correction, deletion and portability; applicable opt-outs of sale, sharing, targeted advertising or certain profiling; limits on specified sensitive-information uses; and nondiscrimination. The categories, sources, purposes and recipients described above explain our information practices.
Where European, UK or similar laws apply, rights may also include objection, restriction, withdrawal of consent without affecting prior lawful processing, and a complaint to a supervisory authority. Availability and exceptions depend on the applicable law and our role. Submit requests or appeals to privacy@accrella.com or through Contact us; an account is not required. We may verify identity or an authorized agent’s authority and will respond within applicable legal deadlines.
15. Changes and contact
We may update this policy as our services, laws, or privacy practices change. If changes are material, we will provide reasonable notice.
